Circet Ireland are seeking an experienced Senior Document Controller to join our project delivery team on complex, high-compliance projects.

This role location will be Letterkenny.


Job Description:
 This is a critical role responsible for controlling, coordinating, and safeguarding all project documentation from pre-construction through to final handover.
You will be the central point of control for drawings, submittals, QA documentation, and closeout records—ensuring site teams always work from approved information and that the client receives complete, compliant deliverables.
If you are organised, assertive, and comfortable chasing busy site teams for documentation, this role offers real ownership and visibility within the project.

Key Responsibilities
Pre-Construction (Weeks 1–14)
  • Build and maintain the Construction Submittal Register (CSR)
  • Coordinate product data submittals for long-lead materials (Fibre, Copper, Racks, Containment)
  • Ensure all material submittals achieve Code A approval prior to ordering
  • Audit the Design Deliverable Index (DDI) against issued drawings
  • Ensure teams work from latest Issued for Construction (IFC) drawings only
  • Manage upload of pre-qualification documentation (insurance, bonds, org charts)
  • Log, track, and close RFIs and Technical Queries (TQs)
Construction Phase
  • Maintain strict document and drawing version control
  • Ensure superseded drawings are immediately withdrawn from site
  • Upload L1/L2/L3 QA and commissioning checklists to BIM 360 / ACC
  • Manage high-volume Fibre and Copper test results (OTDR / OLTS)
  • Enforce weekly redline and as-built mark-up process with site teams
  • Record and distribute weekly progress meeting minutes and track actions to closeout
Closeout & Handover
  • Compile full Operations & Maintenance (O&M) manuals
  • Coordinate conversion of redlines into final record drawings (as-builts)
  • Track snags and punch list items in BIM 360
  • Provide documentary and photographic evidence for snag closure

Systems & Tools
You must be confident working across multiple client and owner platforms, including:
  • BIM 360 / Autodesk Construction Cloud (ACC)
  • EDMS platforms (Aconex, Procore, SharePoint)
  • Bluebeam Revu
  • Google Workspace (Sheets & Drive – live trackers essential)

Key Performance Indicators
  • 100% of material submittals uploaded within 3 days of receipt
  • Zero instances of site teams working from superseded drawings
  • QA and test results uploaded within 48 hours of testing completion

Skills/ Experience
  • Minimum 5+ years’ experience in a Document Control role
  • Background in Data Centres, Pharmaceutical, or Oil & Gas projects preferred
  • Strong experience working in high-compliance environments
  • Fluent English (written and spoken) – mandatory
  • German language skills are a strong advantage
  • Highly organised with exceptional attention to detail
  • Assertive communicator, comfortable chasing documentation daily
  • Proactive, resilient, and able to work under pressure
