Circet Ireland are looking for Order Validation & Workflow Quality Coordinator to join our installs team.


Main Purpose:
The Order Validation & Workflow Quality Coordinator is responsible for ensuring that all customer installation orders are accurately triaged, validated, and progressed through the delivery workflow with complete and correct information. This desk based role provides real time operational support to field engineers, planning teams, and commercial teams by reviewing completed and failed orders, issuing appropriate fail codes, auditing job submissions, and maintaining accurate network records through As Built updates. This role underpins first time right delivery, cost control, and accurate billing, and reports directly to the Operations Support Manager.

Roles & Responsibilities:
  • Review incoming work orders to ensure they are assigned to the correct operational team.
  • Validate order details for completeness, technical accuracy, and feasibility.
  • Identify missing information and escalate or reassign orders as required.
  • Conduct video based validation calls with engineers to confirm whether an installation can proceed.
  • Issue accurate fail codes when an order cannot be completed on the day, ensuring clear justification and documentation.
  • Provide guidance to engineers on required next steps or additional information needed.
  • Monitor orders in real time as they are marked completed or failed.
  • Ensure each order contains the required evidence, notes, and technical details to move to the next workflow stage.
  • Route orders appropriately for reissue, return to client, or submission for invoicing.
  •  Audit completed jobs to verify that engineer payment claim codes are correct and supported by evidence.
  • Ensure all claims align with client requirements and internal billing standards.
  • Flag discrepancies and work with field teams to resolve issues promptly.
  • Submit accurate As Built information using ArcGIS to update the client’s network infrastructure records.
  • Ensure all build routes, distribution points, and installation details are correctly mapped.
  • Maintain high data integrity to support future planning, maintenance, and billing.

Experience & Skills required:
  • Experience in telecoms operations, order management, or workflow coordination.
  • Strong understanding of fibre installation processes and field engineering workflows.
  • Excellent attention to detail with the ability to spot inconsistencies or missing information.
  • Confident communicator capable of supporting engineers and liaising with internal teams.
  • Strong organisational skills and the ability to manage high volume, time sensitive tasks.
  • Familiarity with GIS systems such as ArcGIS or GE Smallworld.
  • Experience with engineer payment validation, job auditing, or billing workflows.
  • Understanding of network build terminology and fibre distribution architecture.
