Job Purpose
We are seeking a highly organised and proactive Senior Project Co-ordinator to provide essential administrative and logistical support to our Project Managers and on-site teams within the fibre optic network build sector in the UK. The Project Co-ordinator will play a crucial role in ensuring the smooth operation of projects by managing documentation, facilitating communication, tracking progress, and supporting adherence to project timelines, budgets, and safety standards.
Key Responsibilities
- Project Support & Administration:
- Assist Project Managers in the creation and maintenance of project plans, schedules, and budgets.
- Manage and organise all project documentation, including contracts, permits, reports, drawings, and correspondence, ensuring they are up-to-date and easily accessible.
- Coordinate project meetings, prepare agendas, take minutes, and track action items.
- Support the onboarding and offboarding processes for project personnel and contractors.
- Handle general administrative tasks to ensure the efficient running of project operations.
- Data Management & Reporting:
- Maintain project tracking systems (e.g., RAID logs, progress trackers, resource allocation spreadsheets).
- Collect and compile data for project reports, dashboards, and presentations, providing accurate and timely information to the Project Manager.
- Assist with financial tracking, including processing invoices, purchase orders, and expense claims.
- Communication & Stakeholder Liaison:
- Facilitate effective communication between the Project Manager, on-site supervisors, internal departments (e.g., design, procurement, finance), and external stakeholders (e.g., contractors, suppliers, local authorities).
- Act as a central point of contact for project-related queries and information dissemination.
- Assist in preparing and distributing project communications and updates.
- Health & Safety and Quality Support:
- Support the Project Manager in ensuring that all project activities comply with relevant Health & Safety legislation, Streetworks legislation, and company internal H&S Management Systems.
- Assist in the preparation and review of safety documentation, such as risk assessments and method statements.
- Help track and ensure the completion of mandatory safety audits and quality checks, escalating any non-conformities to the Project Manager or On-site Supervisor.
- Contribute to fostering a safety-conscious environment by adhering to all safety protocols and reporting concerns.
- Logistics & Resource Coordination:
- Assist with the coordination of resources, including personnel, equipment, and materials, to ensure they are available when and where needed.
- Support the procurement team by tracking material orders and deliveries.
- Experience:
- Minimum of 1-2 years of experience in a project support, administrative, or coordination role, preferably within the telecommunications, construction, or civil engineering sectors.
- Familiarity with project environments and basic project management principles.
- Experience with data entry, record keeping, and report generation.
- Qualifications & Certifications:
- A-levels or equivalent vocational qualifications are typically required. A degree in Business Administration, Project Management, or a related field is desirable but not essential.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
- Full UK Driving Licence is desirable, but not always essential depending on specific project needs.
